Refining and Customizing

Adapting Your Letter for Multiple Applications

You may apply to several programs, but each letter must feel bespoke. In this lesson, you’ll learn strategies to efficiently customize without reinventing the wheel.

1. Which Parts to Personalize

  • University and Program Name: Obvious but critical—double-check spelling.
  • Program-Specific Details: Courses, professors, research centers, campus culture.
  • Geographical/Cultural References: Mention local initiatives or facilities (e.g., “the urban lab in Rotterdam”).

2. Creating a Master Template

  • Core Sections: Introduction hook, your background narrative, teaching/research strengths, conclusion.

Placeholder Tags: Use brackets or color-coding for insertions.

Dear [University Name] Admissions Committee,

I am drawn to your [Program Name] because of [Specific Feature].

  • Version Control: Save each variation as a separate file (e.g., MotivationLetter_JaneDoe_TU_Delft.pdf).

3. Managing and Tracking Applications

  • Motivation Letter Tracker: A simple spreadsheet or PDF workbook where you record:
    • University name
    • Program name
    • Application deadline
    • Date letter drafted
    • Notes on custom points
  • Calendar Reminders: Set alerts one week before each deadline to review and finalize.

4. Exercise:

  • Create your master template. Then draft two customized intros: one for a Dutch program and one for a German program, using the conventions from Module 1.
